What to include
- Your HubSpot account: its name or portal ID, as it appears in LeadCascade.
- The run: the date and time you started it, and the row numbers involved, when your question is about a run.
- What you expected, and what you saw instead.
Never send passwords, access tokens or session cookies. We never ask for them and we do not need them to help you.
A run stopped or paused
Companies, contacts and leads are created in batches. When HubSpot asks the run to slow down, it slows down and continues; a run of up to 1,000 rows finishes in minutes. The run goes one step at a time, so it resumes where it stopped, and steps that are already done are not repeated. Closing the page does not stop it.
If a run has not moved for a day, email us the date and time you started it. If it says to reconnect HubSpot, connect again in the app and the run continues.
Undo a run
Open the finished run (on its result screen or from the history) and press “Undo”. It works for 30 days. LeadCascade reads each lead it created back from HubSpot and deletes it; HubSpot keeps deleted records in its recycling bin, where they can be restored. A lead that someone worked on after the import (edited more than 10 minutes later, or with a deal) is left in place and reported. Contacts and companies the run created are never deleted by Undo; the result CSV marks them so that you can review them in HubSpot. Undo is free and does not use up your leads.
Undo needs the HubSpot account to be connected. After 30 days, or once you disconnect the account, it is no longer possible. The result CSV you downloaded stays with you.
Reporting something that looks wrong in your HubSpot account
If leads were created that should not have been, use Undo if the run is less than 30 days old. Otherwise, or if Undo leaves one in place, email us straight away with the HubSpot account and the date and time of the run, and say so in the subject line. Download the result CSV first if you can. It lists every row with its HubSpot IDs and the outcome.
What LeadCascade reads, writes and keeps
What it reads from your HubSpot account
- Who you are, from the sign-in: the HubSpot user ID and e-mail address of the person who connects, and the account ID and name.
- Lead properties, pipelines and stages, owners, and the companies, contacts and leads your file names, to check your file.
- The leads LeadCascade creates, read back after a lost answer and again on Undo.
What it writes to your HubSpot account
- For each row you confirmed: the company and the contact if they do not exist yet, and one lead linked to both. An existing contact or company is never overwritten.
- On Undo: the leads it created are deleted, unless someone worked on them after the import.
Uploading, matching and “Check the file” write nothing. Your file is read in your browser; its rows are sent to LeadCascade as CSV text to build the preview.
What it keeps, and for how long
| Data | How long |
|---|---|
| HubSpot user ID, e-mail address, account ID and name | Until 30 days after you disconnect, or on request. |
| HubSpot tokens, encrypted | Deleted the moment you disconnect the account. |
| A preview you never run, as encrypted rows | 24 hours. |
| Encrypted planned rows of a run, for Undo | 30 days after a finished run, or at once when you disconnect. |
| Job rows and audit log (IDs, row numbers, outcome codes, with no names or e-mail addresses) | 12 months. |
| Card and billing details | Held by Paddle. We keep only the plan and the period. |
We do not sell your data, and we do not use HubSpot data to train AI or machine-learning models. The full policy is the privacy policy. A file holds up to 1,000 rows and 4 MB.
Common questions
How do I disconnect LeadCascade from HubSpot?
From LeadCascade. Sign in and disconnect the account in the app. LeadCascade deletes the stored tokens at once, and the account’s runs and plans with them, so download your result files first if you want to keep them. Undo is no longer possible after that.
From HubSpot. The connected apps area of your HubSpot settings lists the apps you have authorised, and you can remove LeadCascade there. Check the menu in your HubSpot for where it is in your version.
Disconnecting does not cancel a monthly plan. Cancel it through Manage billing in the app, or email us.
Will LeadCascade change anything before I confirm?
No. Uploading the file, matching the columns and “Check the file” only read. A run starts after you type IMPORT and the number of leads, and the number is checked.
A row was flagged or a lead failed. Why?
Every row has an outcome and a reason in the result and in the result CSV. A row with a problem, such as a missing or invalid e-mail, an unknown owner, pipeline or stage, or a lead name used twice for the same contact in the file, is not sent at all; fix those rows in your file and upload again. A row whose contact already has a lead with the same name is skipped, which is how running the same file twice creates nothing twice. Skipped and failed rows are not counted against your plan.
LeadCascade says my account has no Leads object. What now?
Leads exist in HubSpot accounts with Sales Hub Professional or Enterprise. Without the Leads object, HubSpot has nothing for LeadCascade to create. Check your subscription in HubSpot, or email us if you believe the account has Leads.
A row is marked for review. What do I do?
LeadCascade marks a row this way when it cannot be sure what happened in HubSpot, for example when HubSpot’s answer to a write never arrived and reading HubSpot did not settle it. It does not try again by itself, because the lead may have been created. The result lists the row; open the contact in HubSpot, check whether the lead is there once, and remove any you do not want. Email us if you are unsure.
Why does the permission screen mention contacts and companies?
A lead in HubSpot belongs to a contact, and LeadCascade also links it to a company. So it needs to read and write contacts, companies and leads. It reads owners to match the owner e-mail column, and the property, pipeline and stage lists for the mapping. It asks for no access to deals, tickets, e-mails, files or users.
Delete my data
Email us from the address on your account and ask for deletion. We delete your account details within 30 days. Disconnecting a HubSpot account deletes its stored tokens at once, on its own.
What we hold and for how long is set out in the privacy policy.
Billing questions
Cancellations, receipts, a different billing name on the invoice, or a refund within 14 days: email us with the HubSpot account name. The rules are on the pricing page, in the refund policy and in the terms of service.
Every row of your file becomes a HubSpot lead linked to its contact and company, with a result CSV, a link to each record in HubSpot and Undo for 30 days.
Who it is for: RevOps, sales ops and HubSpot consultants who move leads into HubSpot from another CRM or a spreadsheet and want each lead in the Leads workspace with its contact and company. The HubSpot account needs the Leads object (Sales Hub Professional or Enterprise).
